Describe the route precisely
Share the collection and delivery addresses, location pins and contact names. Include every planned stop and any return journey. Give the receiving window rather than only your preferred departure time. A transport quote based on one route may not cover a later-added stop or extended waiting at the destination.
Describe the cargo completely
List quantities, measurements and gross weights. Explain fragile, non-stackable or upright-only items and attach photographs where useful. Indicate whether goods are boxed, loose or palletised. A clear load description helps the team assess the vehicle and handling arrangement without assuming a capacity from a short message.
Include loading conditions
Tell the team about stairs, loading bays, forklifts and carrying distance. Clarify whether people at the premises will load and unload or whether helpers are requested. Mention permits or appointment requirements. These details affect the practical job and should be discussed before accepting a quote.
Confirm scope, not just price
Ask which vehicle, driver and assistance are covered, and discuss waiting or additional trips. Confirm any packaging, protection or specialist equipment separately. Keep the agreed information together so both sides can refer to it. A low figure without a defined scope is difficult to compare with a complete quotation.
